A corporate services business ran its operations across email, three spreadsheets and a shared drive. We replaced that with a single platform for request intake, approvals, delivery tracking and reporting.
Work existed in three places at once
Requests arrived by email, were logged in a spreadsheet, and progressed through a chain of verbal approvals. Nobody could answer the two questions management asked most: what is outstanding, and where is it stuck.
One workflow first, then extend
Rather than modelling the whole business, we implemented the highest-volume workflow end to end, put it in front of the team, and extended from working software instead of a specification document.
A platform, not a form
The system carries request intake, policy-based approval routing, delivery tracking, document handling and a reporting layer reading live data. It runs on containerised infrastructure with staged environments and monitoring.
Status is now a query, not a conversation
The team works in one place, approvals leave an audit trail, and management reporting generates on schedule. Development continues under a monthly arrangement as new workflows move into the platform.
